PTA BOARD POSITION SUMMARIES
PRESIDENT
VICE-PRESIDENT of Elementary School & Middle School
TREASURER
SECRETARY
- Preside over all PTA general meetings and act as spokesperson for the PTA
- Plan meeting agendas for both general and executive committee meetings
- Preside over all PTA board (executive committee) meetings to ensure that tasks are assigned and completed as necessary
- Act as a signer on the PTA bank account
- Work with the Treasurer to determine a PTA budget for the school year
- Maintain a positive relationship with principals and staff of both schools
VICE-PRESIDENT of Elementary School & Middle School
- Coordinate assemblies for each school, including:
- communicating with assembly vendors
- arranging details with school authorities (scheduling, facilities requests, etc.)
- coordinating payment of the vendor with the Treasurer
- attending the assemblies
- Support the PTA board by attending executive committee meetings, providing input, helping plan activities, and staffing activities
- Attend the mini-grant meetings, held yearly in the fall. At the meetings, a committee will review the mini-grant requests made by the teachers and determine which ones will be funded from PTA resources, according to what is available in the PTA budget
TREASURER
- Manage the PTA bank account, including deposits, withdrawals, reconciling statements, etc.
- Act as a signer on the PTA bank account
- Keep an accurate and detailed account of all funds received and distributed
- Pay all financial obligations in a timely manner
- Prepare & file tax forms in a timely manner
- Organize all receipts, invoices, bank statements, and other financial records according to the month in which they occurred in a binder for the school year
- Present a monthly financial report at PTA meetings
- Develop the budget for the school year (with the help of the other board members)
- Submit the financial records for a year-end audit
SECRETARY
- Take notes at both general PTA meetings and executive committee meetings
- Act as a signer on the PTA bank account
- Write up formal notes to be posted on the PTA Web site (general meetings) or distributed to the board (executive committee meetings)
- Track attendance at both general PTA meetings and executive committee meetings
- Send emails to the general membership about upcoming meetings, events, fundraisers, etc. via Constant Contact
- Act as the PR person for the PTA by posting updates on the PTA Facebook & Instagram accounts
- Maintain an updated PTA Membership list on Constant Contact to reflect new members.
